ResourceSpace

ResourceSpace provides a digital asset management (DAM) system for the Projektablage that can be used to add metadata to documents, images, videos and more in a semi-automated process. This metadata can then be searched efficiently, facilitating the structured storage and management of large data collections.

To minimise the effort involved, it is worth planning the structure of the metadata in advance. Customisation to the specific project requirements is almost always necessary.

Usage

  • Who can access this IT-service?

    This tool is accessible for all users of the Projektablage who have been granted access to this IT-service in a project space via the user administration.

    Access is via login with user name and password of the Projektablage on the page

    resourcespace.projekt.uni-hannover.de/PROJECT_SPACE_NAME

    The placeholder PROJECT_SPACE_NAME must be replaced by the name of the respective project space in the Projektablage.

  • How do I adapt ResourceSpace for the requirements of my project?

    ResourceSpace is very versatile and has countless configuration options. The admin area at the top right, which is only visible to the project administrator, contains options for customising resource types and metadata. Due to the complexity of the settings available there, we recommend arranging a consultation appointment with our support team for larger projects.

Features

  • Collections

    In ResourceSpace, you can summarise resources (documents, images, videos, etc.) in collections. When collections are created, they are always private and can therefore only be viewed by you. It is possible to make them public via the ‘Edit’ action.

    However, all resources are always searchable and visible to all users of the project. Collections are only used for personal or cross-personal sorting of resources; no copy of the resource is created when it is added to a collection.

  • Restore deleted resources

    To restore, go to ‘Manage resources’ in the admin menu, click on ‘Show deleted resources’ and click on the resource you want to restore. Then click on ‘Edit’ and set the status back to ‘Active’. The file can now be found again via the search, but can also be added directly to the current collection via the ‘+’ symbol.

  • Delete resources permanently

    You can permanently delete deleted files by clicking on the drop-down menu at the bottom left under ‘Current collection’, selecting ‘Create new collection’, assigning a name and pressing Enter. Then go to ‘Manage resources’ in the admin menu, click on ‘Show deleted resources’ and save the resulting search result in the created collection via “Actions” and ‘Save found objects in the current collection’. In the ‘Actions’ drop-down menu under the selected collection at the bottom left, you can now click on ‘Delete all resources in this collection’. After confirmation, all deleted resources are deleted. Alternatively, you can also delete them individually.

  • Extracting metadata during upload

    ResourceSpace attempts to extract metadata from every uploaded file. This data is stored in a structured manner so that it is available for high-performance searches. Depending on the file, this results in large amounts of data that can take some time to save. In the case of a PDF, for example, the entire extracted text is saved in a searchable format. Depending on the size, this can take more than ten minutes. As a result, the keyword-search in documents is very fast. In addition, several preview images and download sizes are created depending on the file type.

Notes

  • Beta operation

    The service is currently still in beta status, which means that we do not (yet) guarantee the integrity and security of the data stored in ResourceSpace. There may be short-term and unannounced maintenance in the future!

  • Quota factor

    Due to the size of the data managed in ResourceSpace, the quota for this IT-service is multiplied by an integer factor of 2. A person with administration rights can view the memory already used in the project in the admin menu at the top right.

    Please note that deleted resources are not deleted directly, but are moved to a separate area in the admin menu.
